How Rehearsals Work

Rehearsals in Octavia are linked to a specific student's entry in a specific performance. This means you can schedule separate rehearsals for each student — or no rehearsals at all for students who don't need them — and the records stay associated with that student's participation in that event.

A single student can have multiple rehearsals scheduled. A common use case is an exam candidate or a performance soloist who needs several sessions with an accompanist before the event.

Adding and Managing Rehearsals for a Student

Each student row in the performance table shows a Rehearsals column with a count badge and an Add / View button. Clicking the button opens the rehearsal panel for that student.

The panel displays all scheduled rehearsals in a table. Each row records:

  • Start date and time — entered as a date-time field in your local timezone
  • Duration — in minutes (default is 60 minutes; minimum is 5 minutes, in 5-minute increments)
  • End time — calculated automatically from the start time and duration, shown as a read-only field so you can verify the session doesn't overlap with anything else
  • Location — optional free-text field for where the rehearsal is taking place
  • Notes — optional notes about the session

To add a new rehearsal, click Add rehearsal at the top of the panel. A new row appears at the top of the list, ready to fill in. You can add multiple rows before saving — they all save together when you click Save.

To delete a rehearsal, click the delete icon in its row. Deleted rows are removed immediately when you save.

The All Rehearsals Overview

As well as managing rehearsals student by student, you can see all rehearsals for the entire performance in one place. The All rehearsals button in the performance detail view opens the overview modal.

This shows all scheduled rehearsals across every student in the performance. You can sort the list in two ways:

  • By student — groups rehearsals under each student's name, with their instrument and accompanist shown in the group header. A Manage rehearsals button in each group lets you jump directly into that student's rehearsal panel.
  • By date/time — shows every rehearsal chronologically across all students, which is useful for spotting scheduling conflicts or planning your rehearsal week. Each row shows the student name, instrument, accompanist, location, and notes alongside the time.

Rehearsals and the Teacher Calendar

Rehearsal sessions appear in the teacher calendar as rehearsal events. They're separate from lessons — they show up as their own event type so you can see at a glance when rehearsal commitments fall across your week. The assigned accompanist is also stored against the rehearsal event, which means rehearsal visibility can be extended to accompanists in calendar views.

Rehearsals for Exams

The same rehearsal system used for performances also applies to exams. If a student has an exam scheduled in Octavia, you can schedule rehearsal sessions against their exam entry using the same panel and the same fields. The overview and calendar behaviour are identical.
