Viewing and Exporting Responses

The Students Panel

The Students panel shows all recipients for the current version in a table. At the top, you can see the total number of students targeted and how many are still awaiting a response. Each student row shows:

  • Name — the student's full name
  • Response status — a colour-coded badge
  • Response details — a brief inline preview of what they submitted (truncated if long)

Response Status Badges

Each student's row carries one of three status badges:

Responded (green) — the student has submitted a response for the current response epoch. Their submission is current and counts in your response totals.

Awaiting (grey) — no response has been received yet for the current epoch.

Stale (orange) — the student responded, but their response was submitted before a major update that incremented the response epoch. The old response is preserved in the history but is no longer considered current. They need to respond again.

Response Preview

The Details column shows a short preview of each family's response inline — for example, "RSVP: Yes (2) • Dietary: no nuts" or "Consent: Granted (Jane Smith)". This lets you scan the most important information without clicking into individual records. For stale responses, the preview is prefixed with "STALE •" so it's immediately obvious the data is out of date.

Sending Reminders

For students who haven't responded (Awaiting or Stale), you can prompt their families to act in two ways:

  • Remind (per row) — a Remind link next to each non-responder's name opens the Send your news item modal pre-loaded with just that student's recipients. Use this when you want to nudge a specific family.
  • Send your news item (top of panel) — opens the modal pre-loaded with all non-responders at once. Available when the news item is published and at least one student hasn't responded in the current epoch.

Both use the same audience selector, recipient checklist, and send flow as the initial notification. Depending on your plan, that may include email, SMS, or both — see Publishing, Editing, and Versioning for how that modal works.

Response Epoch and Stale Responses

Reporting is scoped to the current response epoch. If you've published a new version with Require families to respond again checked — because something significant changed — responses from the previous epoch are marked as stale. They're preserved in the history but are not counted in the current response totals.

A student shown as Stale has responded, but their response no longer counts for the current version. They appear in your non-responders list for reminder purposes.

Block-Specific Response Data

The inline response preview in the table shows the key data from each block:

  • Acknowledgement — shows "Acknowledged" if ticked
  • RSVP — shows "RSVP: Yes/Maybe/No" with the attending count in brackets if provided, for example "RSVP: Yes (3)"
  • Consent — shows "Consent: Granted" or "Consent: Denied" along with the name entered
  • Dietary — shows "Dietary: " followed by the free-text note

Any notes the family added in the optional Notes field are also shown if present.

Viewing Individual Responses

You can see the full response details for any student in the preview column. The inline display truncates long entries, but the key fields — RSVP status, consent decision, consent name, dietary notes — are shown in full up to a readable length. You can also see who submitted the response (parent or student) and the timestamps for first response and most recent update.
