How Reporting Works
The reports page pulls from two sources:
Income comes from payments received against student invoices. This is real payment data from your billing — not projected or outstanding amounts.
Expenses come from the business expense records you have entered on the Expenses page.
These two figures are combined to give an estimated profit for the period.
Financial Year View
The Reports page defaults to a financial year view. You select the financial year from a dropdown and see:
- total income received
- total expenses
- estimated deductible expenses
- estimated profit
Below the summary, a month-by-month table breaks down the same figures within that year.
A separate category breakdown shows how your expenses are distributed across your expense categories.
Custom Date Range
If you need to report on a period that does not align with your financial year — a quarter, a single month, or an arbitrary range — switch to Custom dates. Enter a start and end date and the reports update to reflect that window.
Tax-Aware Reporting
If you have tax enabled in your billing settings, the reports page shows an expanded view that separates income and expenses into their ex-tax and tax components:
- income received (inc. tax) and (ex. tax)
- tax collected
- expenses (inc. tax) and (ex. tax)
- claimable tax paid (based on deductible expenses only)
- estimated profit (ex. tax)
If tax is not enabled in your billing settings, the simpler view shows total figures without tax splits.
Income Figures Are Historical
Income tax splits in reporting are derived from the stored amounts on invoice lines at the time invoices were created. They are not recalculated from your current tax settings. This means that if you change your tax rate, historical income figures in reporting do not change — they reflect what was actually invoiced and collected.
Exporting Data
There are two places you can export data, depending on what you need.
From the Expenses page: the Export CSV button downloads the current filtered list of expenses — date, vendor, category, description, amount, tax, deductible status, and business use percentage. The export reflects whatever date and category filters you have applied, so you can narrow it before downloading.
From the Reports page: two CSV exports are available for any selected period, whether you are viewing a full financial year or a custom date range:
- Export Summary CSV — includes the headline figures, a month-by-month breakdown, and the category breakdown for the selected period. The columns reflect your tax setting: tax-enabled schools get inc-tax/ex-tax splits; others get simpler totals.
- Export Detailed CSV — a line-level export with one row per income or expense transaction. Each row includes the record type, date, student name (for income), invoice details, category, vendor, and the full set of tax-aware amount columns. This is the format most useful for sharing with an accountant.
