Retroactive Credit Application

Why This Happens

In a typical lesson pack workflow, you might issue a pack invoice and continue teaching while waiting for payment. This is completely normal — you don't need to pause lessons until the invoice is settled. But it creates a situation where, at the moment the invoice is paid:

  • The pack activates and credits are created
  • Some lessons have already been attended
  • Those lessons haven't been covered by anything yet

Without retroactive application, those past lessons would remain uncovered — you'd have to manually adjust billing to account for them. The system handles this for you instead.

The Coverage Window

Retroactive application is deliberately bounded. The system only considers lessons that:

  • Were scheduled after the invoice's billing period start date
  • Were attended before (or on) the date payment was recorded
  • Have an attendance status that counts toward the pack (present, not cancelled)
  • Haven't already been billed through another method (e.g. a calendar invoice)

This window exists to prevent past lessons from an earlier billing model (such as term or monthly billing) from being incorrectly picked up by a lesson pack you've just created. Only lessons that genuinely fall within the pack's intended commercial period are eligible.

The Review Flow

When you record a payment that activates a lesson pack, the system automatically checks for uncovered attended lessons within the coverage window. If any are found, it prompts you to review them.

In the review panel, you'll see a list of the eligible past lessons. You have three options:

Apply credits — Select the lessons you want to cover with the pack, then apply. The system consumes one credit per selected lesson, oldest credit first. Per-lesson results are shown (applied, already covered, no credits remaining, etc.).

Don't apply — If you decide you don't want to retroactively cover these lessons, choose this option. The review is marked as complete without consuming any credits. The lessons remain uncovered.

Not now — Closes the review panel without making a decision. The pack stays in a pending review state. You can come back to it later from the invoice detail view or the student's billing area.

What Happens to Credits Not Used for Retroactive Lessons

Any credits you don't apply to past lessons remain available. They'll be consumed automatically as future lessons are attended, in the normal way.

Multiple Packs and FIFO

Retroactive application respects the same FIFO ordering as regular consumption — oldest available credits are used first. If the student has more than one active pack of the same type, credits from the oldest pack are applied first.
