Adding Students to a Performance
After creating a performance, you build the programme by adding students and entering the details of what they're performing. Each student entry stores their piece, composer, accompanist, and any internal notes. You can
The Student Entry
When you add a student to a performance, you're creating a programme entry that links that student to the event. Each row in the performance table shows:
- Student — which student is performing; their instrument is pulled automatically from their student profile and displayed in the table
- Piece — the name of the work they're playing or performing
- Composer — the composer or arranger of the piece
- Accompanist — which accompanist (if any) is supporting this student for the performance
- Rehearsals — a count of any pre-performance rehearsal sessions scheduled for this student, with a button to add or view them
- Notes — any internal notes about the student's participation
These details make up the concert programme. When the performance is shared with families, they see the students listed in order with their pieces and composers.
Adding Students
Students are added from the performance detail view using the Add student button. You can add as many students as needed — there's no limit.
Emailing Performance Students
The performance organiser and studio admins can select Email students in the Students panel. This opens your usual email app with the students in the BCC field and the performance title, date/time, location, and description filled in.
Editing Piece, Composer, and Notes Inline
The piece, composer, and notes fields are edited directly in the table. Click any field to begin editing it — a text input appears in place. When you're done:
- Press Enter or click away to save
- Press Escape to cancel without saving
Changes save optimistically — the table updates immediately while the save confirms in the background.
Reordering Students
The order of students in the table controls how they appear in the programme. Use the up and down arrows in the leftmost column to move a student up or down. The numbering updates immediately and persists. You can rearrange the full running order this way at any point — before or after sharing with families.
Assigning an Accompanist
Each student row has an accompanist dropdown. This lets you record which accompanist is supporting that student for the performance. The dropdown lists all active accompanists registered in your studio.
Selecting an accompanist saves immediately — there's no separate save step. The accompanist name also appears in the rehearsals overview, making it easy to see at a glance who is working with each student across the full performance.
Scheduling Rehearsals
Each student row has a Rehearsals column showing how many rehearsals have been scheduled for that student, and an Add / View button. Clicking it opens the rehearsal panel for that student, where you can add, edit, or delete rehearsal sessions.
You can also view all rehearsals across the entire performance in one place — the All rehearsals overview, available from the performance detail view. It shows every scheduled rehearsal sortable either by student or chronologically by date and time.

Removing a Student
To remove a student from the performance, click the delete icon at the end of their row and confirm. This removes them from the programme — it does not affect their student record or any lessons.
What Happens After Adding Students
For in-person performances: the programme is now ready. You can share the performance with families so they can see it in the Family Hub.
For online performances: each student entry also gains a video slot. You can upload a recording for each student, or send them an email invitation to upload their own recording. See Online Performances and Video Recordings for the full recording workflow.
For any performance type: once students are added, you can create a linked News item directly from the performance to handle RSVPs, consent, dietary requirements, or any other communication with families. Because the news item is created from the performance, the target list is automatically pre-populated with the students in your programme.
