How Students Log Practice

Students (and parents logging on behalf of younger students) access their Practiceathon from the Hub. When a campaign is active, a Practiceathon banner appears prominently on their Hub dashboard, showing the campaign name, their current progress, and the campaign dates.

From the Practiceathon section in the Hub, students can:

  • Start and stop the built-in practice timer to record a session
  • See their current practice total and progress toward their personal goal (if goals are enabled)
  • View their position on the leaderboard (if enabled)
  • See their practice session history

Timer-Based Logging

The standard way to log practice is with the built-in timer. The student (or parent) taps start when practice begins and stop when it ends. The session is submitted and becomes a practice log record tied to that student's Practiceathon enrolment.

The timer can handle sessions of up to three hours. Sessions longer than that are capped automatically. If a student practises for longer, they can log another session.

Manual Time Entry

If you've enabled Allow manual time entry in the Practiceathon settings, students can also type in a number of minutes directly, without using the timer. A manual entry is treated the same way as a timer-generated entry once it's submitted — it goes through the same confirmation process and counts toward the same totals.

The Daily Cap

Every Practiceathon has a daily practice cap — the maximum minutes that can count toward the campaign for any one student per calendar day. The default and recommended cap is 120 minutes.

Minutes logged above the cap on a given day are simply not counted. This prevents any single unusually long session from dominating the totals and makes the competition fairer across students of different ages and practice habits.

Parent Confirmation

If Require parent confirmation is on, every logged session starts in a pending state and must be approved by a parent before the minutes count toward the student's total.

When a student submits a practice session, the parent receives a notification in the Hub (and possibly an email reminder, depending on your settings). From the Hub, the parent can see:

  • The session that's awaiting confirmation — the date, duration, and student name
  • A button to approve or reject the session

Approved sessions contribute to the student's tracked total, appear in the leaderboard, and (if fundraising is enabled) form the basis for pledge calculations.

Rejected sessions do not count. The student can see that the session was rejected but cannot edit or resubmit it.

What Counts in Totals and Leaderboards

When confirmation is required, public totals (on the leaderboard and the public page) and fundraising calculations always use approved minutes — not the raw logged total. A student may have logged 300 minutes but only have 250 approved; the 250 figure is what sponsors see and what pledge amounts are based on.

If confirmation is not required, sessions count immediately as approved, and totals update in real time as sessions are submitted.

The Verification Page

When a student submits a practice session that requires confirmation, Octavia can send the parent a verification email with a direct link. This link takes the parent to a standalone verification page — they don't need to be logged in to the Hub to use it.

The verification page shows:

  • The campaign name and banner
  • The student's name
  • The session details (date and duration)
  • Approve and reject buttons

This makes it easy for parents who aren't regular Hub users to confirm sessions from an email link without needing to navigate the app.

You can also trigger bulk verification reminder emails from the Practiceathon detail view — useful if parents have pending sessions sitting unconfirmed and you want to prompt them to act.

Viewing Practice Logs

The Practice Logs tab in the Practiceathon detail view shows all submitted practice sessions across your enrolled students. You can see which sessions are pending, approved, or rejected, and who submitted them. This gives you a full audit trail of the campaign's practice activity without having to look student by student in the Hub.
