Substitute Teachers
A substitute teacher covers a lesson without taking it over. The lesson keeps its owning teacher — for billing, reporting, and history — while the substitute gets everything they need to actually teach it: the lesson on
Assigning a Substitute
Admins assign substitutes. Open the lesson from the Calendar or the Lessons page and use the Substitute Teacher dropdown in the lesson detail view. Choose a teacher and save; clear the dropdown to remove the cover.
Substitutes are assigned one lesson at a time, so cover for a series of lessons means assigning each occurrence.
What the Owning Teacher Sees
The lesson stays on the owner's calendar, but it renders greyed out — it still belongs to them, it just isn't their teaching responsibility for that occurrence. Opening the lesson shows who is covering it, for example "Sarah is covering this lesson."
What the Substitute Sees
The covered lesson appears on the substitute's own calendar in a slightly darker shade of their usual lesson colour, marking it as an active teaching commitment that isn't originally theirs. Opening the lesson shows "You are covering this lesson for [teacher]."
What a Substitute Can Do
For the lessons they cover, a substitute can:
- view the lesson and its students
- mark and clear attendance
- open and write lesson notes
- reschedule the lesson
A substitute cannot delete the lesson or schedule a makeup for it — those remain with the owning teacher (and admins).
Ownership, Billing, and Makeups
Assigning a substitute changes nothing about whose lesson it is:
- billing works exactly as if the owning teacher had taught it
- reporting and lesson history stay with the owning teacher
- if a makeup lesson is scheduled from a covered lesson, the makeup keeps the same owning teacher and the same substitute as the original
