Managing Family Hub Access

You control whether parents and students can access the Family Hub for your school. Access can be granted or revoked per person at any time, without deleting their account. Revoking access takes effect in real time — eve

Two Things That Are Separate

Hub access involves two independent concepts that are worth distinguishing:

Hub permission (hub_allowed) is teacher-controlled. It's your decision about whether a specific parent is allowed into the Hub for your school. This defaults to allowed when you create a parent record, and you can change it at any time.

Account setup (hub_enabled) reflects whether the parent has actually completed account signup. A parent can have permission but not yet have signed up. They can also have an existing account from another studio, in which case their account setup is already done before they ever interact with your school.

These two things are independent. Revoking Hub permission doesn't touch the parent's account — they can still log in to Octavia and access other studios they're linked to. It only removes access to your school's Hub.

What Parents Can See in the Hub

Parents with Hub access can see, for each of their linked students:

  • Upcoming and past lessons (schedule and calendar)
  • Attendance history
  • News items and announcements you've posted
  • Invoices and payment history (if billing access is enabled for them)
  • Performances and recordings
  • Availability settings

Parents can always see billing information in the Hub. If you would prefer a student to manage their own billing directly — for example, an older or adult student — you can enable student billing access from the student's profile. This is off by default. Revoking Hub Access

To revoke a parent's access to your school's Hub, open the student, go to the Parent / Guardian Details section, and switch their Hub Allowed setting off. The change is immediate — if the parent is currently inside the Hub, they are redirected out in real time when the app next checks their access status (which happens automatically in the background and on window focus).

The parent's account is not deleted. They can still log in to Octavia and access other studios they're linked to. If you later decide to restore access, you can re-enable it from the same place.

On each parent card, Octavia shows two separate Hub indicators:

  • Hub Allowed tells you whether you've granted access for your school
  • A separate setup message tells you whether that parent has actually completed their Hub account setup yet

If a parent has not completed setup, you'll also see an Invite to Hub action on their card. Opening it shows a preview of the email and an optional CC myself checkbox before you send.

Octavia also keeps track of the most recent invite that was sent. On the parent card, the invite area shows the last sent date while the parent is still not activated. If the parent later activates their account, that old invite date is no longer shown unless you send them another invite after activation.

For school-wide follow-up, the same invite status also appears on Manage Parents in the Hub Access column. You can use this to see which parents have already been invited and send bulk invites to selected parents from the same page.

Student Hub Access

Student Hub access works differently from parent access. Students sign up using their own email address and are granted access based on their age relative to your school's consent age setting, or via a parental consent process for younger students. You manage this from the Family Hub access card on the student's own profile.

Multiple Parents, One Student

When a student has multiple parents linked, each parent has their own independent Hub permission. Revoking access for one parent doesn't affect the other. Each parent can see the same student data — they don't have different views of the same student.
