Adding and Reusing Resources

Add files and single YouTube videos to My Library so they are ready for later lessons. When you insert a library resource into a lesson note, Octavia reuses the same resource instead of making another copy. Open My Libra

Adding a Resource to My Library

Open My Library, choose Add, then select one of these options:

  • Upload a file — choose one or more files from your computer. You can also drag files onto the main library area.
  • Add YouTube link — paste a link to one YouTube video. Playlists without a selected video cannot be added here.
  • New folder — create a place to organise resources before or after you add them.

When you upload a file while a folder is open, it is added to that folder. Uploading from another view adds it to the top level of Browse.

Octavia sorts uploaded material automatically: audio and video files are saved as Recordings, while images, PDFs, documents, and other non-media files are saved as Attachments.

Upload limits — Attachments can be up to 10 MB. Audio files can be up to 32 MB. Video files can be up to 64 MB. Supported audio formats are MP3, M4A, AAC, and OGG; supported video formats are MP4, MOV, AVI, MKV, and WebM.

If you upload the same file again, or add the same YouTube video again, Octavia keeps the existing library resource instead of adding another copy.

Adding a File Directly to a Lesson Note

You do not need to add every resource to My Library before teaching. When you are working in a lesson note, you can upload a file directly into an Attachment or Recording tool. This is useful when you need to add something that is not already in your library.

When you save the file in the lesson note, Octavia also catalogues it in My Library so you can find and reuse it later. You can therefore add teaching material either from My Library first or directly from a lesson note when you need it.

Octavia checks for an exact file match whenever you choose a file from your computer, whether you upload it in My Library or directly into a lesson note. If the same file is already in your library, Octavia reuses that resource instead of creating a duplicate.

Reusing a Resource in a Lesson Note

You can add a resource from My Library to an empty lesson-note tool:

  1. Add or open an Attachment, Recording, or YouTube tool in the lesson note.
  2. Choose Insert from Resource Library. In the Recording tool, this is labelled From library.
  3. Search or browse for the resource you want. You can filter the picker and preview supported files before inserting them.
  4. Choose Insert.

The picker only shows resources that work with that tool. For example, the Attachment tool shows compatible files, the Recording tool shows audio and video recordings, and the YouTube tool shows individual YouTube videos.

The resource is then added to the lesson note. It is the same library resource, not a second uploaded file, so you can use it again in other lesson notes without creating duplicates.

Practice Setups When Reusing Media

For a Recording or YouTube video with saved Practice setups, the picker can offer Insert with practice setup. Choose a setup to add the resource and a copy of that setup to the new lesson note together.

The copied setup belongs to the new lesson note. Editing it later does not change the saved setup or Practice Mode in other notes. See Practice Mode (Media Looping) for creating and using Practice setups.

What Changes Everywhere

A library resource has one name. If you rename it in My Library, the new name appears wherever that resource is used, including other lesson notes.

Practice Mode does not work this way: each lesson note has its own Practice setup, even when it uses the same recording or YouTube video.
