Managing Library Resources

Use My Library to update a resource's name and tags, control whether families can download files, review student recordings, and recover resources you have deleted. In My Library, choose the edit icon beside a resource y

Editing a Resource

In My Library, choose the edit icon beside a resource you created. You can change its Name and add or remove Tags to make it easier to find.

Changing a name changes it everywhere that resource is used, including lesson notes. Tags are used only for organising and filtering in My Library.

For files and recordings, you can also use Allow students and parents to download. When it is switched off, families can still view, play, or open the resource from lesson notes they can access and from their Hub My Library, but they do not see a download option. This setting does not affect your own access.

What Families Can See

Students and parents see Resource Library items when they have been placed in lesson notes they can access. Adding something to My Library alone does not make it visible to families. Their Hub My Library can also include the student's own Online Performance recordings, which are separate from lesson-note resources.

In the Hub, My Library gathers those available resources in one place. Families can search and browse them, open the lesson notes where they were used, and download files when you have allowed downloads.

Student and Parent Recordings

The Student recordings view contains recordings that students or parents have added to their own lesson notes. Use it to find a submitted recording. Where the delete option is available, you can remove a recording when necessary.

These recordings are not teaching resources. They cannot be reused in another lesson note, moved into folders, tagged, renamed, or shared.

Deleting and Restoring Resources

To delete a resource you created, choose its delete icon and review the confirmation. Octavia shows where the resource is used and warns you if deletion will affect Practice Mode or other people who can access it.

When you confirm, the resource moves to Recently deleted. It is hidden immediately from lesson notes and from family My Library, but you can restore it for 30 days.

To restore a resource, open Recently deleted and choose Restore. The resource returns to the library and becomes available again. After 30 days it is permanently removed; any lesson notes still using it can no longer show or play it.
