Who Can Use an Item
Each item has its own list of who can use it. Admins and the person who created an item can always do everything with it. Other teachers see it only if you give them access, or switch on All teachers can hand this out .
The Three Things a Person Can Do
| Right | What it allows |
|---|---|
| See | The item appears in their Equipment list, and they can read its history, counts and loans |
| Hand out | Sell it, give it away, lend it and record returns |
| Edit | Change the item, add instruments or versions of it, and look after its stock count |
A teacher who can edit an item can always hand it out too.
Who Always Has Access
- Admins can do everything with every item.
- The creator of an item can do everything with it.
Choosing Teachers
Open an item and choose the Teachers tab. Only the creator and admins see this tab.
You see a list of teachers with two tickboxes each, Can hand out and Can edit. Use the search box to find a teacher, tick what they should be allowed to do, then save. You and the creator appear in the list already ticked, so you can see who is covered.
All Teachers Can Hand This Out
When this is switched on in the item's details, every teacher in your school can see the item and hand it out, but not edit it. The Teachers tab then tells you so, and ticking Can edit for an individual teacher still gives that teacher edit rights.
What a Teacher Sees
A teacher sees the items they can see, and for each one the full history of who it has been handed or lent to.
Prices and charge status are shown only for hand-outs the teacher made themselves. Admins see them for everyone's. This keeps the money side with the people who do the invoicing.
Admins alone can see the Waiting to be invoiced tab and add charges to invoices.
When a Teacher Leaves
A teacher who has been deactivated can no longer use Equipment. Items they created stay, and admins can still manage them.
