Adding and Managing Teachers
The Manage Teachers page is where admins add teachers to the school, invite them to create their login, keep their profile details up to date, and deactivate them when they leave. It appears in the sidebar under People f
The Manage Teachers Page
The page shows a searchable list of your teachers. You can search by name, instrument specialty, or employment status, and filter by account status — by default the list shows teachers with status Active or Invited.
The header shows your total teacher count against your plan's teacher limit (for example, "3 of 5"). If you have reached the limit, the Add Teacher button is replaced by an Upgrade to add more prompt.
Clicking any teacher opens their profile.
Adding a Teacher
Use Add Teacher to open a blank teacher profile. Two fields are required:
- Name
You can also record their instrument specialty, employment status, teaching hours, hourly rate, and whether they are available as an accompanist. Save the profile to create the teacher.
At this point the teacher exists in your school — you can enrol students with them and schedule their lessons — but they cannot log in yet. That is the next step.
Inviting a Teacher to Log In
On the profile of a teacher who does not yet have a login, you'll see an Invite teacher button. Clicking it opens a pre-filled email in your own mail app, addressed to the teacher, telling them their account has been set up and directing them to the Octavia signup page.
The teacher then creates their account using the same email address you entered on their profile. Once they have signed up, their login is linked to their teacher record and the Invite teacher button disappears.
The first time they log in, their dashboard shows a short set of activation steps to work through, including changing their password on My Profile.
The Teacher Profile
An existing teacher's profile has three tabs:
- Teacher Details — name, email, instrument specialty and instruments, employment status, teaching hours, hourly rate, and the accompanist setting
- Students & Groups — the students and groups enrolled with this teacher
- Lessons — the teacher's lessons
From the profile header you can also open the Enrolment Editor to enrol students with this teacher and move students and groups between teachers — see Enrolling Students with a Teacher below.
Enrolling Students with a Teacher
You add and move student enrolments through the Enrolment Editor. In a multi-teacher studio you can open it in two places:
- From the Manage Teachers page header, with Open Enrolment Editor — the editor opens on your full list of teachers.
- From an individual teacher's profile, with Open Enrolment Editor — the editor opens focused on that teacher, so you can start assigning students to them straight away.
The editor lists your teachers alongside their current individual students and groups. Pick a student, then drag them onto a target:
- Drop onto a teacher → creates or updates that student's individual enrolment with that teacher
- Drop onto a group → adds them as a group member
Because admins see every teacher and group across the school, this is also how you move a student between teachers or reassign a group — drag them onto the new teacher or group. From within the editor you can also create a new group for a teacher, remove a member from a group, adjust a group member's instrument, and edit an existing individual enrolment inline.
Students appear in the editor from your school's master student list. If a student isn't in the school yet, add them first from Manage Students (or import a list there), then enrol them here. See Adding and Managing Students.
Managing Students and Parents
In a multi-teacher studio, student and parent details are edited centrally by admins through Manage Students and Manage Parents in the sidebar — not on the individual student pages. The student pages remain the place to view details and work with lessons and notes.
Deactivating and Reactivating a Teacher
Use Deactivate on a teacher's profile when they stop teaching at your school. Deactivating does not delete anything — their record and history remain, and you can Reactivate them later.
Deleting a Teacher
Deleting is permanent and is confirmed before anything happens:
- Deleting an invited teacher removes their record; they will no longer be able to activate their account.
- Deleting an active teacher also removes all of their historical student enrolments, lessons, attendance data, and lesson notes.
