Teacher Permissions

Admins can decide two things for the teachers in their studio: whether teachers can invite their own students to create an account, and whether teachers can schedule their own lessons. These settings apply only to teache

Where to Find Them

Open School Settings and go to the Teachers tab. Below the list of teachers you'll see a Teacher permissions card with two switches. Only admins see this card.

Turn a switch on or off, then select Save changes. The settings apply to your whole school. You can't set them differently for individual teachers.

Teachers Can Invite Their Own Students

Off by default.

Inviting to the Family Hub covers three things: sending the student their account invitation, requesting parental consent when a student is below your school's consent age, and sending a parent their Family Hub invitation from the student's Parent / Guardian Details card. This one switch controls all three. See Student Consent Settings and Inviting and Setting Up Family Access.

  • When it's off, teachers don't see the invite or consent button on a student's profile, and they don't see the Invite to Hub button on the parent cards. In its place they see a short note asking them to ask a studio admin. Admins can still send invitations and consent requests as normal.
  • When it's on, teachers can invite their own students, request parental consent for them, and send Invite to Hub (or Resend invite) to a student's parents, just as an admin would.
  • Parent records stay with admins. Teachers still can't add, edit or remove parents, or turn a parent's Hub access on or off. A teacher can only invite a parent whose Hub access an admin has already allowed and who has an email address on file.

Teachers Can Schedule Their Own Lessons

On by default.

When this is on, teachers schedule their own lessons exactly as the rest of this knowledge base describes.

When you turn it off, teachers can no longer:

  • create lessons, including one-off lessons, makeup lessons, and lessons generated in the Scheduler
  • place students or groups on the timetable, or move or clear them
  • change a student's or group's regular lesson day, time, or lesson type

Teachers can still:

  • see their timetable in the Scheduler, and manage their own availability and other events there
  • take attendance and write lesson notes
  • reschedule, cancel, or delete lessons that already exist
  • review a family's makeup request
  • forfeit a makeup credit for their own lessons (admins can forfeit any teacher's)
  • change a student's or group's lesson location

In the places where a teacher would normally create or schedule a lesson, they'll see a message that scheduling is managed by their studio admin, or the option won't appear at all. The Scheduler stays available so teachers can still see their week. Admins can schedule lessons for any teacher, as usual.

When a Change Takes Effect

Teachers see a change the next time their app refreshes. That is usually within a few minutes, and straight away if they reload the page. The same settings apply in the mobile teacher view.

Good to Know

  • These settings decide what teachers are offered in Octavia. They are there to help you run your studio the way you want, not to stand in for the way you manage your team.
  • Billing, the Money section, and other admin-only areas are not affected. They already work as described in What is a multi-teacher studio?.
  • Parents and students are not affected. Families can still do everything they could before, including booking makeup lessons online if you've turned that on.
