What Is a Group?
A group is a named set of students who share lessons together. Examples: a music theory class, an ensemble rehearsal group, or a beginner keyboard class. Groups are separate from individual enrolments — a student can be in a group and also have individual lessons with you at the same time.
Groups have their own:
- Lesson type (which determines duration and default pricing)
- Location (studio, school venue, or other fixed location — home addresses cannot be used for groups)
- Billing contract (a single billing arrangement that applies to the group as a whole — all members are billed on the same model and at the same rate)
Creating a Group
Create a new group from the teacher app, give it a name, and then set its lesson type and timetable details. The group exists as soon as it's created — you add members separately.
Adding Students to a Group
There are two ways to add a student to a group, and both are valid:
From the Group Detail page — accessible by clicking into the group from My Students. Use the Add member button to add a student. You can choose from existing students already in your master list, or add a brand-new student directly from this flow — no need to create them elsewhere first.
When you add students from the Group Detail page, the app gives you two choices:
- Add existing student — search your current master student list, select one or more students, and add them to the group
- Create new student — enter a small set of details for a brand-new student and add them to the group immediately
From the Enrolment Editor — open it with Open Enrolment Editor on the Manage Students page, then drag any student onto the group. This adds them as a group member without affecting their individual enrolment (if they have one). This is particularly useful if you want to review the student's full record before placing them.
From the Group Detail page, you can also click a member's name to open their student details without leaving the group. Removing a member happens directly from the member list.
Group Members and Billing
The billing contract belongs to the group. All members share the same billing model, lesson type, and rate — you don't set up separate billing contracts for individual members within a group.
When invoices are generated, each member receives their own invoice (since billing is always per person), but the terms come from the single group-level billing contract. If you need students in the same group billed on different terms, they would need to be in separate groups.
Billing for group lessons works the same way as billing for individual lessons — calendar-based, lesson packs, term, or monthly — applied at the group level and invoiced per member. For lesson packs in a group context, see Group Lesson Packs.
Adding a Student to a Group After Lessons Are Scheduled
You can add a student to a group at any time, even after lessons have already been created for that group. When a student is added to a group, the platform automatically adds them as a participant to all future lessons for that group. Their lesson list, calendar visibility, and Family Hub access update immediately.
Past lessons — those that occurred before they joined — are not retroactively added to their record.
Scheduling Group Lessons
Once a group has members, you create lessons for the group in the same way as individual lessons — from the Lessons section or the calendar. Group lessons appear on the calendar for all members and are visible in the Family Hub for each member's parents and the students themselves.
Before you can schedule, the group needs a valid group lesson type. The Group Details and Group Lesson Time panels will warn you if this hasn't been set yet, and the Group Lesson Time panel also lets you choose the lesson day, time, and default school location for the group.
Removing a Student from a Group
To remove a student from a group, manage their membership from the group's detail page or from the Enrolment Editor. Removing a group member does not delete their master record or any other enrolments they have.
