Creating a Lesson Pack Invoice

Before You Start
A lesson pack invoice can only be generated for enrolments whose billing contract type is lesson pack. The invoice generator works per billing type — you can't mix lesson pack lines with calendar-based or monthly billing on the same invoice. If a student has both an individual lesson pack enrolment and a group lesson pack enrolment, those can appear on the same invoice, because they share the same billing type.
Generating the Invoices
Navigate to the Billing area and start a new invoice generation run. Select Lesson pack as the billing type. From there the generator walks you through the following steps:
1. Choose your scope. Select whether you want to generate for individual enrolments, group enrolments, or both. The system will only surface students and groups whose enrolment contract is set to lesson pack billing.
2. Set pack size. The pack size defaults to whatever is configured on each enrolment's billing contract — for example, if a student's contract specifies a 5-lesson pack, that's what the generator will use. If you want to issue a different size for this run (for example, a 3-lesson pack instead of the usual 5), enter a value in the pack size override field. The override applies to all recipients in this generation run, or you can adjust individual invoices in the review step.
3. Select recipients. Choose which students and groups you want to generate invoices for. You can select all or choose a subset. The generator shows the eligible recipients based on your scope and billing type selection.
4. Generate. Click to generate. The system creates draft invoices automatically, one per recipient, with the invoice lines built from the enrolment details. The lesson type on each line is determined by the enrolment — a student enrolled on a 30-minute lesson type will receive a 30-minute lesson pack line. You don't choose or configure the lesson type at this point.
Reviewing the Drafted Invoices
After generation, the system enters review mode. You'll see a list of all the draft invoices that were just created, with a summary of each (recipient, pack size, amount). From here you can:
- Review each invoice in detail before anything is sent
- Edit individual invoices if you need to adjust the pack size or any other detail on a specific invoice
- Send individual invoices or all of them at once — this emails the invoice to the family
- Delete any invoices you don't want to send
Nothing is sent to families until you explicitly send it. The draft stage is your opportunity to catch anything that needs adjusting before the invoice lands in someone's inbox.
Sending the Invoice
Once you send an invoice from the review step, the family receives it by email. They can pay through the usual channels — manually recorded by you, or via a Stripe Pay Now link if you have Stripe connected.
What Happens After You Send the Invoice
The invoice sits in sent state, waiting for payment. You can continue scheduling and teaching lessons as normal — the system handles the credit creation automatically once payment is recorded. If the student has already attended some lessons by the time you record the payment, the system will offer to apply the newly created credits to those past lessons.
