Group Lessons

Group lessons work the same way as individual lessons in terms of how you create and manage them — but they're scoped to a group rather than a single student. All group members are participants in every group lesson. Loc

Before You Create Group Lessons

A group must exist before you can create lessons for it. If you haven't set one up yet, see Group Enrolments.

Once the group exists and has members, you're ready to schedule.

Creating a Single Group Lesson

From the group's detail page, use Add Lesson to create a one-off lesson for that group. You can also start from the Calendar, choose an empty time, switch the lesson selector to Group, and then choose the group.

In the add-lesson form, choose the date and time, and confirm the lesson type. The group's current lesson type is selected by default, but you can choose another group lesson type for that one lesson only. The duration updates automatically from the selected type. All current group members are automatically added as participants — you don't add them individually.

The lesson type must be a group lesson type. Individual lesson types are not shown when creating group lessons. For more on how lesson type categories work, see How Lesson Types Work and Lesson Types and Pricing.

Creating a Recurring Group Lesson Series

Use the Group Lesson Time panel to set the group's lesson day, time, lesson type, location, and date range, then use Schedule lessons to generate the series. Groups follow the same recurring timetable rules as individual students, including Fixed (weekly) and Fixed (fortnightly) where applicable. If no group lesson types exist yet, the app warns you and links you to the lesson type settings first. The group time panel can also show a warning if the selected time overlaps with other current student lesson times.

How Group Members Become Participants

When a group lesson is created, the system automatically adds all current group members as participants.

Adding a Student to a Group After Lessons Are Scheduled

If you add a new member to a group that already has scheduled future lessons, the system automatically adds them as a participant in those upcoming lessons. You don't need to manually edit each lesson.

Past lessons are not updated retroactively. If the new member joins mid-term, lessons that have already occurred remain as they were — the new student is not added to historical lessons.

Location for Group Lessons

Location works the same way as for individual lessons, but with one difference: groups cannot use "Student's home" as a location type. This is because a group may include students from multiple addresses, making a single home location meaningless. The available location options for a group are:

  • Unset — no location shown
  • School location — a named teaching location from your school settings

As with individual lessons, the location is snapshotted onto each lesson at creation time and doesn't change if you later update the group's location setting. See Setting and Updating Lesson Locations.

If there is only one active school location, the app can select it automatically. If there are no active school locations, you'll be prompted to add one in School Settings first.

Rescheduling, Cancelling, and Deleting Group Lessons

These all work the same as for individual lessons:

  • Rescheduling — select lessons and reschedule; or drag and drop on the calendar. See Rescheduling a Lesson.
  • Cancelling — mark attendance for the group lesson with the appropriate status. Attendance is recorded per participant, so you can mark different outcomes for different members of the same group in the same lesson. See Cancelling a Lesson.
  • Deleting — subject to the same billing safety checks as individual lessons. See Deleting a Lesson.

Once scheduled, group lessons appear in the group's Upcoming Lessons list as well as in your shared lessons list and calendar.

Billing for Group Lessons

Billing for group lessons is managed through the group's billing contract. All members share the same billing model and rate. The billing contract is set at the group level — individual members cannot have different billing arrangements within the same group. See Group Enrolments for detail on group billing contracts.

Attendance Flexibility in Group Lessons

Due to the nature of group lessons, makeup lessons are not created for individuals who miss a lesson within a group.

Instead, whether a missed group lesson gets charged is controlled entirely by attendance settings, and you have two options for how to manage this: allow flexibility in attendance, or don't allow flexibility in attendance.

Option 1: Allow Flexibility in Attendance

If you would like to give your group members flexibility with their attendance, and not charge them for lessons they don't attend, the recommended method is to bill your groups using Lesson Packs. Each student within a group purchases their own pack of lesson credits.

When you mark the attendance of an individual within a group lesson, the system either uses or does not use one of that student's lesson pack credits, based on the attendance status you select. This means some students can miss a group lesson and not be charged, while other students attend that same lesson and still get charged.

For example, you might select a non-billable absence status for a student who missed the lesson, and they will not be charged for it. Or you can still choose to charge a student who misses a lesson by selecting a billable absence status instead.

Because attendance is set per student, one person in the group might have 10 credits remaining on their lesson pack while another has 9 — even though the group lesson itself was scheduled for everyone. Whenever you schedule a group lesson, it schedules for all the students in that group; the only variable is whether each individual student gets charged for it, based on the attendance status you give them.

Option 2: Don't Allow Flexibility in Attendance

If you don't want to offer this flexibility — and instead want every student charged for every scheduled group lesson whether they attend or not — simply always select a billable attendance status when a student misses the lesson. This way, a missed lesson never skips a charge or a lesson pack credit.

Attendance statuses, and whether each one is billable or not, are fully customisable in School Settings → Lesson Settings → Attendance Types, so you can set up either approach to suit how your school operates.

What Group Members See in the Family Hub

Once a group lesson is created, it appears in the calendar for each group member's family. Parents and students can see upcoming group lessons in the Family Hub, just as they can see individual lessons.
